Title: Using Tags in Calibrate
Purpose: This document provides step-by-step instructions for using Tags in Calibrate.
Audience: This document is meant to be used by Profile Editors, Content Managers, Award Editors and Course Editors.
Before you begin: A Tag is a keyword or term, assigned to an item, that helps describe the item and allows it to be found again by searching. Tags can be added to any Job Profile, Profile Cluster, Course or Award. Tags are not mandatory, but it is considered a best practice to add one or two Tags to each item.
Assumptions: To add a Tag to an item, the item must be in draft state and in edit mode.

Instructions:
Add a Tag to an Item
1] Navigate to the item (Job Profile, Profile Cluster, Award or Course) to which you want to add a Tag.
2] If it's in the published state, click Revise to put it in the draft state, otherwise skip to step 3.
3] To put it in edit mode, click the three-dot menu in the upper right.
4] Click Edit Details.
5] Scroll to the bottom of the page and locate the Tags textbox.
6] Click in the Tags textbox and the list of Tags appears.
7] First you'll want to check if the Tag you want to add already exists. You can do this by either scrolling through the list of Tags or just start typing a few letters of the Tag you want to add. The Tags that contain those letters will appear automatically.
8] If the Tag you want to add already exists, highlight it and click Enter. The Tag gets associated with the item.
9] If the Tag you want to add is not in the Tags list already, you can create. Finish typing the Tag and hit Enter.
NOTE: When creating a Tag, you can use lowercase letters, numbers, periods, spaces, forward slashes, parentheses, and hyphens. It's generally a good idea to keep Tags generic and short--less than 25 characters is best. |
10] The Tag gets created and associated with the item, which you can see in the Tags list below.
Remove a Tag from an Item
11] Navigate to the item you want to remove a Tag from.
12] Make sure it's in the Draft state and in Edit mode.
13] Scroll down to the Tag section.
14] Click the "x" to the right of the Tag you want to remove from that item.
Search using Tags
Search from your Dashboard
15] To see all the items with a particular Tag, from your Dashboard, locate the Select a tag textbox in the My Resources section.
16] Click in the Select a tag textbox and the list of Tags appears.
17] To locate the Tag, scroll through the list or enter it into the textbox (Tags appear automatically).
18] Hit Enter.
19] The list of all items with that Tag appears in the section below automatically.
NOTE: If the Tag search returns no results, it means that Tag is not associated with any items in Calibrate at the moment. |
NOTE: You can search for items using multiple Tags. This acts as an AND function meaning it only returns items that have all the Tags. |
20] To search for items with multiple Tags, repeat steps 17 and 18 for each Tag you want to AND in the search.
Search from an list
NOTE: When you search from an list, you will only get search results for items in which you are an Editor. |
21] Navigate to the list (Job Profiles/Cluster Profiles, Awards or Courses) through which you want to search for items with a specific Tag.
22] At the top of the list, locate the Select a tag textbox.
23] Click in the Select a tag textbox and the list of Tags appears.
24] To locate the Tag, scroll through the list or enter it into the textbox (Tags appear automatically).
25] Hit Enter.
26] The list of items with that Tag, for which you are an Editor, appears in the section below automatically.
27] To search for a list of that item with multiple Tags, repeat steps 24 and 25 for each Tag you want to AND in the search.
