Purpose: This document provides step-by-step instructions for managing skills in a Job Profile that has already been through Validation (i.e., reviewed by people in industry).
Audience: This document is meant to be used by Job Profile Editors.
Before you begin: When someone in industry reviews a Job Profile, they make suggestions on how to improve it to better align it with industry needs. Those suggestions take the form of recommending skills to add or remove from the Job Profile, as well as recommending a rating on the criticality of skills which make up the Job Profile. Your job is to evaluate those recommendations and decide whether to accept them or not.

Locate the Job Profile
1] Log into Calibrate and from the home page, click the Profile icon on the left of the page.
2] The list of Job Profiles and Cluster Profiles appears.
|NOTE: The are three ways to locate the Job Profile whose skills you want to manage:
3] To use the search box to locate the Job Profile, enter the Job Profile title in the search box (Job Profiles appear automatically).
|NOTE: When you use the search box to find a Job Profile, the list returned may be so long that you will have to use the page controls to locate it within the search results. If so, see steps 6 and 7 for more details.|
4] To filter by Tags, start typing a Tag in the Filter by textbox.
5] A list of Tags appears. Click on the desired Tag.
6] The other way to locate the Job Profile is to navigate through the list using the page controls at the bottom of the list. You can go one page at a time by clicking the ">".
7] Or you can jump directly to a specific page in the Job Profile list by clicking the down arrow next to the page number and then clicking on the page you want to jump to from the list.
8] When you locate the Job Profile whose skills you want to manage, click on it. The Job Profile Dashboard appears.
9] If the Job Profile is in the Review state, click the Revise button in the upper right corner. This will change the Job Profile to the draft state and automatically increment the version number. If the Job Profile is already in the draft state, go to step 10.
Resolve Skill Suggestions
10] To get to the list of suggested skills that need to be resolved, click Resolve in the Suggestions section of the Dashboard.
11] A filtered list showing only the suggested skills appears.
|NOTE: Skills in the Skills list are organized by skill type (i.e., Work Activities, Knowledges, Soft Skills) and grouped by skill category within each skill type.|
|NOTE: With the Show Status checkbox checked, status flags are displayed next to the skills. Red flags indicate a discrepancy while blue flags indicate a suggested skill. Status flags with numbers inside indicate the number of that type of status within that skill category.|
|NOTE: Resolving a suggestion means deciding whether or not to accept a suggestion to add a skill from a Reviewer.|
12] Locate a skill with a blue flag status and click the right arrow to the far right.
13] The Reviewer details appear to the right. Reviewer details let you see how many Reviewers reviewed the skill, which type, and what rating they assigned it.
|NOTE: For each pending suggestion, the Reviewer will assign it one of the following three ratings:
1. Critical: highly relevant, required, and central to this job. Candidates are disqualified if these skills are missing or deficient.
2. Important: important, complementary, and frequently performed within this job, but not required. Candidates can acquire or become proficient in these skills while on the job.
3. Beneficial: supplementary and helpful, but not necessary for the job. Candidates will benefit from having these skills but are qualified without them.
It is also possible, but unlikely, the Reviewer will suggest a skill, but leave it unrated.
|NOTE: The rating you see in the Reviewer Rating column is the median of all the ratings from all the Reviewers who rated that skill.|
14] You can filter by Reviewer type, company or location using the Filter By dropdown menu.
15] Based on Reviewer details, decide whether to accept or reject the suggestion.
16] To accept the suggestion, click the check mark to the left of the skill. To reject it, click the “x”. Accepted skills remain where they are but are unrated. Rejected skills move to the discarded list in the Library.
17] For each skill suggestion you accept, decide on a rating for it. You can use the Reviewer's suggested rating, but you don't have to if you think it should be different. As a Job Profile Editor, the final rating decision is yours.
18] Hover your mouse over the three circles in the Editor column.
19] If you think the skill is Critical, click the right-most circle. If it's Important, click the center circle. If it's Beneficial, click the left-most circle. The circles will fill in to indicate your choice.
20] If you change you mind and want to change the rating, just click the circle that applies to the new rating.
21] If you change your mind and want to reject the suggestion, click the undo arrow on the left.
22] Then click the "x" on the left.
23] Repeat steps 12 - 22 for all suggested skills.
|NOTE: Managing a discrepancy means deciding what to do when the Editor rating and the Reviewer rating of a skill are different.|
24] If need be, click the Overview tab on the Job Profile menu to return to the Job Profile Dashboard home page.
25] In the Discrepancies section, click Manage.
26) Locate a skill with a red flag status and click the right arrow to the far right. You'll notice the rating in the Editor column and the rating in the Reviewer column are different.
27] The Reviewer details appear at the right. Reviewer details let you see how many Reviewers reviewed the skill, which type, and what rating they assigned it.
28] You can filter by Reviewer type, company or location using the Filter By dropdown menu.
29] Based on Reviewer details, decide how best to rate the skill. You can keep the original Editor rating, go with the Reviewer suggested rating or find a compromise. As a Job Profile Editor, the final rating decision is yours.
30] To go with the original Editor rating, do nothing. To change the rating, click the appropriate circle: right-most for critical, center for Important and left-most for Beneficial.
|NOTE: If you go with the original rating or change it to any rating other than that suggested by the Reviews, the red status flag remains there indicating there is still a discrepancy.|
31] Repeat steps 26 - 30 for all discrepant skills.
Finish Managing Skills
32] When you're done managing skills in a Job Profile, you have three choices:
- If you want other Editors to manage skills, do nothing. The Job Profile will remain in Draft mode.
- You can Publish the Job Profile by clicking Publish in the upper right. This will make the Job Profile available for use as a Target Profile in creating Awards.
- You can send the Job Profile off to be reviewed again by the same or different Reviewers by clicking the Validate button in the up right corner.
