Note: If you'd prefer to edit skills in a Job Profile using a quick start, see the Edit Skills in a Job Profile Quick Start Guide.
Purpose: This document provides step-by-step instructions for editing the skills in a Job Profile that already exists in Calibrate, but has not yet been through Validation.
Audience: This document is meant to be used by Job Profile Editors. Job Profile Editors work together to create Job Profiles which are then reviewed by people in industry.
Before you begin: A Job Profile is a Skill Profile which describes a specific occupation or job and consists of four types of skills: 1) Work Activities, 2) Knowledge Domains, 3) Soft Skills and 4) Tools and Technologies. Editing skills means 1) adding and rating new skills, 2) changing the ratings of existing skills or 3) discarding existing skills.
You can find the definition of the capitalized words used in this User Guide in the SkillsEngine dictionary located here.
Instructions:
Locate the Job Profile
1] Log into Calibrate and from your Dashboard, click the Profile icon on the left of the page.
2] The list of Job Profiles and Cluster Profiles appears.
NOTE: The are three ways to locate the Job Profile whose skills you want to edit:
|
3] To use the search box to locate the Job Profile, enter the Job Profile title in the search box (Job Profiles appear automatically).
NOTE: When you use the search box to find a Job Profile, the list returned may be so long that you will have to use the page controls to locate it within the search results. If so, see steps 6 and 7 for more details. |
4] To filter by Tags, start typing a Tag in the Filter by textbox.
5] A list of Tags appears. Click on the desired Tag.
6] To use the page controls to locate the Job Profile, you can either navigate through the list one page at a time using the page control at the bottom of the list by clicking the ">".
7] Or you can jump directly to a specific page in the Job Profile list by clicking the down arrow next to the page number and then clicking on the page you want to jump to from the list.
8] When you locate the Job Profile whose skills you want to edit, click it. The Job Profile Dashboard appears.
9] If the Job Profile is in the published state, click the Revise button in the upper right corner. This will change the Job Profile to the draft state and automatically increment the version number. If the Job Profile is already in the draft state, go to step 10.
Edit Skills in the Job Profile
10] To get to the Skills list, click Manage in the Unrated Skills section of the Dashboard.
11] The Skills list appears.
View Skills by Skill Sets
Note: When working through the list of skills to edit them, there are two views to choose from. The first, by skill category and type, is the default view. The other is by Skill Sets. Here the skills are grouped according how they comprise a single competency. |
12] To view skills grouped by Skill Sets, click the View By menu down arrow.
13] From the menu choose Skill Sets.
NOTE: If you prefer to edit skills in the Skill Sets view, before or during your editing you may want to further group skills into Skills Sets. To learn how to do that, see Creating and Managing Skill Sets. |
Add and Rate New Skills
NOTE: There are four different types of skills you can add in Calibrate:
|
NOTE: To display skills in a skill category that are not already displayed, click the down arrow to the right of the skill category title. Skill categories are listed in alphabetical order. |
NOTE: Work Activities that have been added to the Job Profile through Blueprints come pre-rated with a rating found to be most suitable for that Blueprint. The other skills added via Blueprints do not come pre-rated. |
NOTE: There are two ways to add skills to a Job Profile. You can find a skill in the Library or you can create a new skill. You should always look in the Library first for a skill to add before you create a new one. |
Add a Skill From the Library
NOTE: There are two ways to find a skill in the Library to add: you can scroll through a list in the Library or use the search box. |
NOTE: There are four lists to choose a skill from in the Library:
A skill will never appear in more than one list at a time. |
Scroll through a list
14] To choose which list to scroll through, click the down arrow of the skills list menu in the Library on the right.
15] From the dropdown menu, choose the list that best suits your needs. If you're uncertain, choose All Library Skills.
NOTE: Skills in the Library are also organized by skill category. |
16] The list of Library skills categories appears. Scroll through the list of skill categories and click the down arrow to the right of the skill category that contains the skill you want to add.
17] Locate the skill within the skill category you want to add and click the "+" to the left to add it.
NOTE: When you add a skill from a list in the Library, it is added into its skill category. If the skill category doesn't yet exist, Calibrate creates it and then adds the skill to it. |
Search the Library
18] To search for a particular skill in the Library, start typing the skill name into the Library search box (results appear automatically).
19] After you locate the skill in the search results, click the "+" to the left of it to add it.
Create a New Skill
NOTE: When you create a new skill in Calibrate that is not already in the Library, that new skill, which is referred to as an Account Skill, is added to your Job Profile and the Library, where it is made available account-wide to use in other Job Profiles. |
20] Click the New Skill button at the top of the Library.
21] From the menu that appears, choose the type of new skill you want to create.
NOTE: If you're unsure how to create a skill from scratch, see the following: |
Rate the New Skill
NOTE: After you add a skill it will be unrated. A good time to rate it is right after you add it, but first you'll have to locate it. You can locate it by scrolling through the Skills list or by using the search box. |
22] To locate the skill by scrolling, go through the Skills list and locate the skill category with the skill you just added to it, click the down arrow to display the skills in the category and then locate the skill within the category list.
23] To locate the skill by searching, start typing the skill name into the search box at the top of the Skills list (results appear automatically).
NOTE: Each skill can be assigned one of the following three ratings:
1. Critical: highly relevant, required, and central to this job. Candidates are disqualified if these skills are missing or deficient. 2. Important: important, complementary, and frequently performed within this job, but not required. Candidates can acquire or become proficient in these skills while on the job. 3. Beneficial: supplementary and helpful, but not necessary for the job. Candidates will benefit from having these skills but are qualified without them. |
24] For the skill, decide whether it is Critical, Important or Beneficial.
25] Hover your mouse over the three circles in the Editor column.
26] If the skill is Critical, click the right-most circle. If it's Important, click the center circle. If it's Beneficial, click the left-most circle. The circles will fill in to indicate your choice.
Change the Rating of Existing Skills
27] Locate the skill in the Skills list by scrolling or using the search box.
28] For the skill, decide what the new rating should be.
29] Hover your mouse over the three circles in the Editor column.
30] If the skill should be changed to Critical, click the right-most circle. If it should be changed to Important, click the center circle. If it should be changed to Beneficial, click the left-most circle. The circles will fill in to indicate your choice.
Discard Existing Skills
NOTE: To discard a skill it must be unrated. Therefore, to discard a rated skill you will first have to remove its rating. |
31] Locate the skill by scrolling or searching.
32] If the skill is rated, click the left arrow to remove its rating.
33] Now that the skill is unrated, click the "x" to the left of it. The skill is moved to the discarded list in the Library.
Finish Editing Skills
34] When you're done editing skills in a Job Profile, you have three choices:
- If you want other Editors to make edits to the skills, do nothing. The Job Profile will remain in Draft mode.
- You can Publish the Job Profile by clicking Publish in the upper right. This will make the Job Profile available for use as a Target Profile in creating Awards.
- You can send the Job Profile off to be reviewed by Reviewers by clicking the Validate button in the up right corner.
If you send the Job Profile off to be reviewed, your next step is to invite Reviewers to review the Job Profile. To learn how to do that, see the Invite Reviewers User Guide.
