Purpose: This document provides step-by-step instructions for editing an Award in Calibrate.
Audience: This document is meant to be used by Editors to edit an Award for an academic institution.
Before you begin: An Award in Calibrate is in one of two states: Draft or Published. Which state an Award is in determines whether the Award can be edited immediately or whether it needs to be revised first.
If the Award is already in Draft state, you can start editing right away. However, if the Award is in Published state, you will have to revise the Award, which will place it into Draft state.
Editing an Award means changing the Award details; adding or removing Courses; adding or removing Target Profiles; and/or adding or removing Editors. It also includes deleting the Award altogether.
This document is not meant to be used for managing skills in an Award. Managing skills in an Award includes assigning unassigned skills and reviewing assigned skills. The detailed steps for managing skills in an Award can be found in the Manage Skills in an Award User Guide.
Assumption: There is no assumption made about which state the Award is in for this User Guide. This User Guide provides steps for Awards that are in both states.

Instructions:
Locate the Award
1] After you log in, the Calibrate Dashboard appears. Start by clicking the Align icon on the left side menu.
2] The Award list appears.
NOTE: There are three ways to locate an Award in the Award list:

3] To use the search box to locate an Award, enter the Award name in the search box (Awards appear automatically).
NOTE: When you use the search box to find a Award, the list returned may be so long that you will have to use the page controls to locate it within the search results. If so, see steps 6 and 7 for more details. |
4] To filter by Tags, start typing a Tag in the Filter by textbox.
5] A list of Tags appears. Click on the desired Tag.
6] To use the page controls to locate the Award, you can either navigate through the list one page at a time using the page control at the bottom of the list by clicking the ">".
NOTE: Awards are listed in alphabetical order. |
7] Or you can jump directly to a specific page in the Award list by clicking the down arrow next to the page number and then clicking on the page you want to jump to from the list.
8] When you locate the Award you want to edit, click on it. The Award Dashboard appears.
NOTE: If the Award is in the published state, the button in the upper right corner will say Revise. If the Award is in the draft state, the button in the upper right corner will say Save. |
Edit Award Details
9] If the Award is in the published state, click the Revise button in the upper right corner. This will change the Award to the draft state. If the Award is already in the draft state, go to step 11.
10] The Award Dashboard changes to draft state.
11] Click the three dot menu next to the Save button.
12] When the menu appears, click Edit Details.
13] The Edit Award page appears.
NOTE: All of the Edit buttons on the Award Dashboard lead to the Edit Award page. |
14] In the Details section, edit any of the following fields:
- Title
- Level (from dropdown)
- Department (from dropdown)
- Description
Edit Target Profiles
Add a Target Profile to the Award
15] On the list menu on the right side of the page, click Job Profiles.
16] The list of Job Profiles appears.
NOTE: The Job Profiles list also displays Job Profile Clusters. You can tell a Job Profile Cluster because it has an icon with a number in it to the right of the title. The number in the icon equals the number of Job Profiles in the cluster. |
17] To view the details of any Job Profile or Job Profile Cluster in the list, hover your mouse over the title. The down arrow “ᴠ” icon and outlink icon appear on the right.
18] Click the down arrow and the Job Profile (or Job Profile Cluster) details appear.
19] To jump to the Job Profile or Job Profile Cluster itself, click the outlink icon to the right of the Job Profile title. The outlink icon is also available from within the Job Profile details screen.
20] When you identify a Job Profile or Job Profile Cluster you want to add to the Award, in other words, to make it a Target Profile, click the "+" to the left of the title in the list.
NOTE: When you add a Job Profile Cluster to an Award, you’re adding the most critical and relevant skills from all the Job Profiles included in the cluster, as determined by Calibrate. |
21] After you add a Job Profile or Job Profile cluster, it will appear on the left side of the page in the Target Profiles section.
22] If you do not see the Job Profile in the list that you want to add to the Award, you can search for it by entering the Job Profile title in the search box. Search results appear automatically.
Remove a Target Profile from the Award
23] To remove a Target Job Profile from the Award, click the "x" to the left of the Job Profile you want to remove in the Target Profiles list.
NOTE: In Draft mode, when you delete a Target Profile, there is no warning. It just gets deleted. If you accidentally delete a Target Profile, you’ll have to add it again. |
Update a Target Profile in the Award
NOTE: An exclamation point to the right of a Job Profile or Job Profile Cluster in the Target Profiles section means there is an update to that Job Profile or Cluster. The Award will get updated to the latest version of the Job Profile or Cluster automatically when you save (i.e., publish) the Award. |
Edit Associated Courses
Add a Course to the Award
24] On the list menu on the right side of the page, click Courses.
25] The list of Courses appears.
26] To view the details of any Course in the list, hover your mouse over the Course title. The down arrow “ᴠ” icon and outlink icon appear on the right.
27] Click the down arrow icon and the Course details appear.
28] To jump to the Course itself, click the outlink icon to the right of the Course title. The outlink icon is also available from within the Course details screen.
29] When you identify a Course you want to add to the Award, click the "+" to the left of the title in the list.
30] After you add a Course, it will appear on the left side of the page in the Associated Courses section.
31] If you do not see the Course in the list that you want to add to the Award, you can search for it by entering the Course title into the search box. Search results appear automatically.
32] If you want to add a Course to the Award that is not in the list, scroll to the bottom of the Course list and click the New Course button.

Update a Course in the Award
NOTE: An exclamation point to the right of a Course in the Courses section means there is an update to that Course. The Award will get updated to the latest version of the Course automatically when you save (i.e., publish) the Award. |
Remove a Course from the Award
36] If you want to remove a Course from the Award, click the "x" to the left of the Course in the Associated Courses section.
NOTE: In Draft mode, when you delete a Course, there is no warning. It just gets deleted. If you accidentally delete a Course, you’ll have to add it again. |
Add or Remove Editors
Add Award Editors
37] On the list menu on the right side of the page, click Editors.
38] The list of Editors appears.
39] When you identify an Editor you want to add to the Award, click the "+" to the left of their name in the list.
40] After you add an Editor, they will appear on the left side of the page in the Editors section.
41] If you do not see the Editor in the list that you want to add to the Award, you can search for them by entering their name (first or last) into the search box. Search results appear automatically.
42] If you want to add an Editor to the Award who is not in the list, scroll to the bottom of the Editors list and click the Invite New button. Follow the instructions.
Remove Award Editors
43] To remove an Editor from the Award, click the "x" to the left of their name in the Editors list.
NOTE: You cannot remove yourself as an Editor from the list, although other Editors can. |
Save Edits
44] When the Target Profiles, Courses and Editors are exactly the way you want in the Award, in the upper right corner of the page click the Update button.
Revert to the Previous Version
45] To revert to the previous version, without publishing it with any of the changes you just made, click the three dot menu next to the Save button.
46] When the menu appears, click Revert Version.
WARNING: When you revert to a previous version, you lose all the changes you just saved. |
Deactivate an Award
47] To deactivate a Award you’re editing, click the three dot menu.
48] When the menu appears, click Deactivate Award.
Reactivate an Award
49] To reactivate an Award you’ve deactivated, click the Reactivate button in the upper right corner of the page.
Publish an Award
50] When you’ve made all the edits to the Course you want, click the Save button in the upper right corner of the page.
