Purpose: This document provides step-by-step instructions for managing skills in an Award in Calibrate. Managing skills in an Award is the key step in Award alignment. Award alignment is the process of addressing skill gaps by reconciling the difference between the skills required by the Target Profiles and the skills taught in the Courses that lead to the Award.
Audience: This document is meant to be used by Award Editors to manage the skills in an Award for an academic institution.
Assumption: The assumption is the Award already exists. In the event it doesn’t, you’ll have to create it first. The detailed steps for creating an Award can be found in the Create an Award User Guide. Currently Awards can only be created by Content Managers.
Before you begin: An Award in Calibrate can be in one of two states: Draft or Published. Which state an Award is in determines whether the skills in the Award can be managed immediately or whether the Award needs to be revised first.
If the Award is already in Draft state, you can start managing skills right away. The revision number will not change. However, if the Award is in Published state, you will have to revise the Award first, which will place it into Draft state and increment the revision number.
As an Award Editor, your primary job is to resolve skill gaps between the skills in the Target Profiles and the skills in the associated Courses by assigning unassigned skills to Courses. Unassigned skills are skills required by Target Job Profiles but not yet taught in any Courses. Additionally, you'll review assigned skills, which are skills that are in one or more Courses and may also be required by one or more Target Job Profiles.
This document is not meant to be used for editing Awards. Editing an Award includes editing Award details; adding/removing Courses; adding/removing Award Editors; and deleting an Award. The detailed steps for editing an Award can be found in the Edit an Award User Guide.

Locate the Award
1] After you log in, the Calibrate home page appears. Start by clicking the Align icon on the left side menu.
2] The Award index appears.
|NOTE: There are two ways to locate an Award in the Award index: 1) use the search box or 2) use the page controls|
3] To use the search box to locate an Award, enter the Award name in the search box (Awards appear automatically).
4] The other way to locate an Award is to navigate through the index using the page controls at the bottom of the index. You can go one page at a time by clicking the ">".
|NOTE: Awards are arranged alphabetically.|
5] Or you can jump directly to a specific page in the Awards index by clicking the down arrow next to the page number and then clicking on the page you want to jump to in the index.
6] When you locate the Award you want to manage, click on it. The Award Dashboard appears.
|NOTE: If the Award is in the published state, the button in the upper right corner will say "Revise." If the Award is in the draft state, the button in the upper right corner will say "Publish.”|
Manage Unassigned Skills
|NOTE: When you manage skills you’re not making permanent changes. What you’re doing is making recommendations to Course Editors, who can accept or reject your recommendations.|
7] If the Award you’re managing is in the Published state, click the Revise button in the upper right of the Award Dashboard. Otherwise go to step 9.
8] Editing is enabled on the Award Dashboard.
9] To begin managing unassigned skills, start by clicking the Resolve button in the upper right of the Course Dashboard.
|NOTE: The number of unassigned skills you have to evaluate is right above “Unassigned Skills” on the Award Dashboard.|
10] The Unassigned Skills page appear, with the unassigned skills list on the left.
|NOTE: The skills in the Unassigned Skills list are grouped into skill categories. The title of the skill category is at the top of the skills in that category in a darker font.|
|NOTE: There are two ways to work through the Unassigned Skills list. You can start at the top and go down the list one by one. Or, you can search for specific unassigned skills to evaluate by using the filter at the top of the list.|
Go through the list one by one
11] To expand a skill category, click the down arrow “v” to the right of the skill category title.
12]The skills within that category appear.
13] Go through the list of unassigned skills in that category, hovering your mouse over each one as you go. When you hover your mouse over a skill, a checkbox appears to the left of the title and “OMIT” appears to the right.
14] To see which Courses are available to assign that skill to, click the checkbox next to that skill. The Courses appear to the right.
15] To assign the unassigned skill to one of those Courses, hover your mouse over the Course title. A checkbox, outlink and down arrow icon appear.
16] To jump to the Course details page, click the outlink icon.
17] To assign the unassigned skill to that Course, click the checkbox to the left of the Course title.
|NOTE: If a Course has Course Outcomes, once you assign a skill to that Course, you have the option to also assign that skill to one or more outcomes of that Course.|
18] To assign that skill to Course Outcomes, click the down arrow “v” to the right of the Course title. If there are Course Outcomes, they will appear below the Course title.
19] To assign the skill to particular Course Outcomes, select the checkbox to the left of each Course Outcome you want to assign the skill to.
20] If you want to assign that skill to all the Courses, hover your mouse over the word “Courses” at the top of the Course list and a checkbox appears to the left of the word Courses.
21] Select that checkbox to assign that skill to all the Courses.
22] When you’ve assigned that skill to all the Courses and Course Outcomes you want, click the Assign button.
23] To clear all the assignments you just made and start over for that skill, click Clear All.
24] If you want to assign all the unassigned skills in a particular skill category to the same Course or Courses, hover your mouse over the skill category title and a checkbox appears to the left of the skill category title.
25] Select the checkbox and return to step 14 to assign all of those skills to Courses and Course Outcomes.
26] If you come across a skill you think should not be part of the Award, click Omit to the right of the skill title. The skill title gets a strikethrough and an Omitted flag is added to the right.
|NOTE: Omitting a skill will exclude it from the alignment stats.|
27] Repeat steps 11 - 26 for every skill in the Unassigned Skills list.
Search for specific skills to assign
28] To search for a specific skill to assign, click the Filter button in the upper right of the Unassigned Skills list.
29] Enter the skill title into the search box that appears (skills appear automatically).
30] When you locate the unassigned skill you seek, go back to step 13.
31] When you’re done with the Unassigned Skills list, click the Finish button in the upper right. That takes you back to the Award Dashboard.
Review Assigned Skills
|NOTE: Assigned skills are skills in the Award which are already assigned to a Course. As you review the assigned skills, you may find you want to remove assigned skills from a Course because they’re not needed or they’re better suited in a different Course.|
32] To review the assigned skills, in the Award Dashboard, click the Review button.
33] The Assigned Skills page appears.
34] Go through the list of Courses on the left, hovering your mouse over each one as you go. When you hover your mouse over a Course, an outlink and down arrow icon appear.
35] To jump to the Course Profile page, click the outlink icon.
36] To view the Course description and outcomes, click the down arrow.
37] To view the assigned skills in the Course, click the Course title in the Courses list. The assigned skills appear to the right.
|NOTE:The skills in the Assigned Skills list are organized by skill category. Click the down arrow to the right of the skill category title to see the skills in that category.|
38] To view the status of the skills in the list, select the Show Status checkbox at the top of the list. Status flags appear to the right of the skill title. The total of each kind of status is displayed in the numbered flags at the top.
|NOTE: There are three different status flags:
39] If you ever need to locate just a single skill to review in the Assigned Skills list, you can locate it by clicking Filter at the top of the list.
40] In the search box that appears, enter the title of the skill you seek (results appear automatically).
Manage Assigned Skills
41] To remove a skill from a Course, click on the “three dots” menu to the right of the skill title
|NOTE: You can remove any skill from the Course except those pending removal.|
42] The three dots menu pops up.
43] Click Remove in the menu. The skill title gets a strikethrough and a Removed flag is added. The skill is pending removal from the Course.
44] To cancel out the removal of any skill pending removal, click the three dots menu and from the pop up click Undo remove.
45] Go through the list and review all the skills for that Course.
46] Click the next Course in the Courses list on the left and repeat steps 38 - 44. Repeat for all Courses in the list.
47] When you have reviewed and managed all of the assigned skills in all the Courses, click the Finish button in the upper right corner. This saves returns you to the Award Dashboard.
Publish the Updated Award
48] When you’ve resolved all the unassigned skills and you’ve reviewed all the assigned skills and everything is as you want it, click the Publish button in the upper right of the Award Dashboard. The Award status will change from Draft to Published.
