Purpose: This document provides step-by-step instructions for managing skills in an Award in Calibrate. Managing skills in an Award is the key step in Award alignment. Award alignment is the process of addressing skill gaps by reconciling the difference between the skills required by the Target Profiles in the Award and the skills taught in the Courses that lead to the Award.
Audience: This document is meant to be used by Editors to manage the skills in an Award for an academic institution.
Assumption: The assumption is the Award already exists. In the event it doesn’t, you’ll have to create it first. The detailed steps for creating an Award can be found in the Create an Award User Guide. Currently Awards can only be created by Content Managers.
This document is not meant to be used for editing Awards. Editing an Award includes editing Award details; adding/removing Courses; adding/removing Editors; and deleting an Award. The detailed steps for editing an Award can be found in the Edit an Award User Guide.
Before you begin: An Award in Calibrate can be in one of two states: Draft or Published. Which state an Award is in determines whether the skills in the Award can be managed immediately or whether the Award needs to be revised first.
If the Award is already in Draft state, you can start managing skills right away. However, if the Award is in Published state, you will have to revise the Award first, which will place it into Draft state.
As an Editor, your primary job is to resolve skill gaps between the skills in the Target Profiles and the skills in the associated Courses by assigning unassigned skills to Courses. Unassigned skills are skills required by Target Profiles but not yet taught in any Courses. Additionally, you'll review assigned skills, which are skills that are in one or more Courses and may also be required by one or more Target Profiles.

Instructions:
Locate the Award
1] After you log in, the Calibrate home page appears. Start by clicking the Align icon on the left side menu.
2] The Award list appears.
NOTE: There are three ways to locate an Award in the Award list:

3] To use the search box to locate an Award, enter the Award name in the search box (Awards appear automatically).
NOTE: When you use the search box to find a Award, the list returned may be so long that you will have to use the page controls to locate it within the search results. If so, see steps 6 and 7 for more details. |
4] To filter by Tags, start typing a Tag in the Filter by textbox.
5] A list of Tags appears. Click on the desired Tag.
6] To use the page controls to locate the Award, you can either navigate through the list one page at a time using the page control at the bottom of the list by clicking the ">".
NOTE: Awards are listed in alphabetical order. |
7] Or you can jump directly to a specific page in the Award list by clicking the down arrow next to the page number and then clicking on the page you want to jump to from the list.
8] When you locate the Award you want to manage skills in, click on it. The Award Dashboard appears.
NOTE: If the Award is in the published state, the button in the upper right corner will say "Revise." If the Award is in the draft state, the button in the upper right corner will say "Save.” |
NOTE: If you see a banner across the top that says You have unsaved changes, that means one or more Courses associated to the Award are in Draft mode with pending changes. When you publish the Award by clicking save, all of those pending changes will be automatically accepted and that Course will be set to Publish mode. |
Manage Unassigned Skills
NOTE: When you manage skills in an Award by assigning unassigned skills to a Course, you’re not making those changes permanent yet. What you’re doing is putting the Course in Draft mode and submitting those assignments as pending changes. Ad mentioned in the note above, you make your assignments permanent when you save (and publish) the Award. |
9] If the Award you’re managing is in the Published state, click the Revise button in the upper right of the Award Dashboard. Otherwise go to step 11.
10] Editing is enabled on the Award Dashboard.
11] To begin managing unassigned skills, start by clicking the Resolve button in the upper right of the Course Dashboard.
NOTE: The number of unassigned skills you have to evaluate is right above “Unassigned Skills” on the Award Dashboard. |
12] The Unassigned Skills page appears, with the unassigned skills list on the left.
NOTE: The skills in the Unassigned Skills list are grouped into skill categories. The title of the skill category is at the top of the skills in that category in dark font. |
NOTE: There are two ways to work through the Unassigned Skills list. You can start at the top and go down the list one by one. Or, you can search for specific unassigned skills to evaluate by using the filter at the top of the list. |
Go through the list one by one
13] To expand a skill category and reveal all the skills within, click the down arrow “v” to the right of the skill category title.
14] The skills within that category appear.
15] Go through the list of unassigned skills in that category, hovering your mouse over each one as you go. When you hover your mouse over a skill, a checkbox appears to the left of the title and “OMIT” appears to the right.
16] To see which Courses are available to assign that skill to, select the checkbox next to that skill. The Course(s) appear to the right.
NOTE: If an unassigned skill has been previously omitted, you will see it with a line through it in the unassigned skills list. This strikethrough line remains there even after the Award is saved as a way to preserve these past edits. |
17] To assign the unassigned skill to one of those Courses, hover your mouse over the Course title. A checkbox, outlink and down arrow icon appear.
18] To jump to the Course details page, click the outlink icon.
19] To view the Course Outcomes, if any, click the down arrow icon.
20] To assign the unassigned skill to that Course, select the checkbox to the left of the Course title.
21] To assign that skill to Course Outcomes, select the checkbox(es) to the left of each Course Outcome you want to assign the skill to.
22] If you want to assign that skill to all the Courses, hover your mouse over the word “Courses” at the top of the Course list and a checkbox appears to the left of the word Courses.
23] Select that checkbox to assign that skill to all the Courses.
24] When you’ve assigned that skill to all the Courses and Course Outcomes you want, click the Assign button.
25] To clear all the assignments you just made and start over for that skill, click Clear All.
26] If you want to assign all the unassigned skills in a particular skill category to the same Course(s), hover your mouse over the skill category title and a checkbox appears to the left of the skill category title.
27] Select the checkbox and return to step 16 to assign all of those skills to Courses and Course Outcomes.
28] If you come across a skill you think should not be part of the Award, click Omit to the right of the skill title. The skill title gets a strikethrough and an Omitted flag and Unomit button are added to the right.
NOTE: Omitting a skill will exclude it from the alignment stats. |
29] If you change your mind and want to undo the omit, click the Unomit button.
30] Repeat steps 13 - 28 for every skill in the Unassigned Skills list.
Search for specific skills to assign
31] To search for a specific skill to assign, click the Filter button in the upper right of the Unassigned Skills list.
32] Enter the skill title into the search box that appears (skills appear automatically).
33] When you locate the unassigned skill you seek, go back to step 13.
34] When you’re done with the Unassigned Skills list, click the Finish button in the upper right. That takes you back to the Award Dashboard.
Manage Assigned Skills
NOTE: Assigned skills are skills in the Award which are already assigned to a Course. As you review the assigned skills, you may find you want to remove assigned skills from a Course because they’re not needed or they’re better suited in a different Course. |
35] To review the assigned skills, in the Award Dashboard, click the Review button.
36] The Assigned Skills page appears.
NOTE: Assigned skills are organized in skill categories just like unassigned skills. To view the skills in a skill category, you may have to click the "v" to the right of the skill category title. |
NOTE: Just as with unassigned skills, you can review assigned skills by going through the list one skill at a time or searching for a particular skill using the search box or Filter By feature. |
37] Go through the list of assigned skills one at a time or locate a specific skill by entering it in the Search box.
38] You can also filter the list of assigned skills by making a selection from the Filter by dropdown menu to just review skills in a particular Course.
39] Click the skill(s) you want to review. For each skill, a list appears on the right indicating which Course(s) the assigned skill is taught in.
NOTE: Courses in the list with a Pending Addition flag or Pending Removal flag are not finalized until the Award is saved (and published). |
40] To jump to a Course Profile page, hover your mouse over the Course and an outlink icon appears. Click it.
41] To remove the skill from a Course it's already taught in, uncheck the checkbox for that Course.
42] To have the skill taught in other/additional Courses, hover your mouse over the Course title and check the checkbox next to those Course(s).
43] When the skill is assigned to the Course(s) you want, click the Update button in the upper right corner.
NOTE: If you uncheck all the Courses that skill is assigned to, when you click Update the skill title will get a strikethrough indicating it is no longer assigned to any Course. |
44] To view the status of the skills in the list, select the Show Status checkbox at the top of the list.
45] Status flags appear to the right of the skill title. You may have to hover your mouse over the skill to see the flag.
NOTE: There are two different color status flags:

46] When you’re done with the Assigned Skills list, click the Finish button in the upper right. That takes you back to the Award Dashboard..
Publish the Updated Award
47] When you have all the unassigned and assigned skills just the way you want, click the Save button in the upper right of the Award Dashboard. The Award status will change from Draft to Published.
