Purpose: This document provides step-by-step instructions for inviting users to Calibrate and granting them Account Permissions.
Audience: This document is meant to be used by Account Owners and Account Members. Account Owners and Account Members have different permissions as detailed below.
Before you begin: You should make sure the person you want to invite is not already a user in Calibrate. To do that, navigate to the Account Users and Permissions list (Account > Users & Permissions) on the left side menu. If they are in the list, there's no need to add them using this User Guide.
You can find the definition of the capitalized words used in this User Guide in the SkillsEngine dictionary located here.
Instructions:
NOTE: There are two steps to inviting users. First you must invite them as a user and then you must grant them account permissions. |
Invite Users
1] After you log in, the SkillsEngine Dashboard appears. To invite a user, click the +Create menu in the upper right and then click New User.
2] The Users & Permissions page appears. If you're not already on the Users & Permissions page, click Users & Permissions on the top menu.
NOTE: If you are an Account Member, you will not see the Edit buttons to the far right in the Users and Permissions list. You will only see them if you are an Account Manager. |
3] Click the Invite button in the upper right.
4] The Invite New Users window appears.
5] From the Select Account Role drop-down menu, choose Member or Owner. If you are a Member, you will only be able to choose Member. Once you make your selection, the rest of the Invite New Users window activates.
Send Invites
NOTE: There are two ways to invite users. You can do so from within the Calibrate application or you can send emails from you own email account. Using your own email account allows you to customize the emails. |
6] To send invites from within Calibrate, enter the email address(s) in the email text field(s). The Send Invites button activates after you enter the first email address.
7] Click the Send Invites button.
NOTE: If you want to invite more than three people from within Calibrate, you'll have to repeat steps 3 - 7. |
8] To send email(s) from your own email account, click the Copy Link button near the bottom and paste the link into your email invite.
9] Now you must wait for them to accept your invite.
Grant Account Permissions (for Account Owners only)
10] After the user has accepted your invitation, navigate to the Account Users and Permissions list and locate the user.
11] To the far right of their name, click Edit.
NOTE: The Content Role is initially set to Viewer by default. Viewers cannot create items in Calibrate. Only Content Managers can create items. |
12] From the Edit Permissions modal, to make the user a Content Manager, check the Has permission to manage account? checkbox.
13] You can also change the Account Role for the user, from the one you initially assigned them when creating their invite, using the Account Role dropdown.
14] Click Save.
Remove User from Account (for Account Owners only)
15] To remove a user from your account, at the bottom of the Edit Permissions modal, click Remove User From Account.
16] When the Warning appears, click Remove.
